We aim to bring the philosophy of the practice of nourishing our garden and the environment sustainably into all parts of our work. This means we intend to provide a joyful, nourishing and grounded experience which also means providing structure and boundaries.

These terms and conditions aim to give you clear, honest and fair information when making a purchase or booking.

These terms and conditions may be updated after time of booking. In this case, the updates will apply to all bookings.


Our Terms and Conditions

1. Events, workshops & trainings

1.1 Note: 

Some workshops and retreats are administered independently by practitioners, who have their own terms and conditions. If you booked through us, on this website, the below terms will apply to you. If you booked through the practitioner, their terms will apply. If you’re not sure, please get in touch.

1.2 Cancellations

We can’t offer refunds on event bookings, however, we can move your ticket into a different name if you would like to gift it or sell it privately. Simply email hello@apothecarygarden.co.uk with the new attendee’s details. You can also consider getting travel or event insurance which would cover you in the event you’re no longer able to attend.

In the case the event needs to be rearranged or cancelled due to unforeseen circumstances, we’ll offer to move your booking to the new date or give you a full refund.

If the event is fully cancelled by us you will be given a full refund.

1.3 Your wellbeing

Your health and wellbeing and the wellbeing of anyone under 18 who is with you is your responsibility.

When booking you commit to only attending the event if you are feeling healthy and well, and have not been experiencing symptoms relating to any transmittable illnesses such as a cold, a virus or COVID-19.

In the case of illness, we are not able to refund your booking, but you can transfer your booking to someone else. Please get in touch with us and we will also support you to transfer your ticket where we can (ie. we might have a waitlist). You can also consider getting travel or event insurance which would cover you in the event you’re no longer able to attend.

2. Accommodation Booking

2.1 General 

The Apothecary Garden cabins handle bookings from those over 18 years of age. We reserve the right, without giving reasons, to refuse a booking. When you submit your booking through the online reservation system you will receive an automated booking summary e-mail, to the e-mail address provided. Please check the email for any errors. Any issues must always be notified by email or telephone within 7 days following the receipt of the booking confirmation or before the start of your stay if that occurs within 7 days.

2.2 Payment

A 30% deposit is due to secure the booking and dates over 30 days away and the remaining balance will be taken automatically 30 days before arrival. Deposits are non-refundable.

For bookings less than 30 days away, the payment will need to be made in full.

The final amount is due 30 days before the start of your booking. If the remaining balance cannot be collected before your booking we reserve the right to cancel your booking and the 30% deposit will not be returned.

2.3 Deposits

A £150 is required to secure your bookings on the whole venue. This will be returned after your stay bending the terms and conditions have been followed and there is no damage. If there is damage, we reserve the right to keep your deposit.

2.3 Date Changes

If you would like to move your booking, you can move your booking up to 30 days before the start date of your booking to another date, pending availability. We will only be able to move your booking once. Bookings cannot be moved within 3 months of the booking.

If we cannot move your booking, or we have already moved your booking once, the standard cancellation policy will apply.

2.4 Cancellations

We highly recommend you get travel insurance in case you need to cancel due to unforeseen circumstances.

If cancelled more than 60 days prior to your stay you will receive a full refund for the amount you’ve paid.

If cancelled less than 60 days prior but more than 30 days prior to your stay your deposit will not be returned.

If cancelled 30 days or less from your stay- 100% of your booking cost will be retained unless we are able to resell your dates, in which case we can offer you a full refund.  

We cannot accept responsibility or pay any compensation where the provision of your stay is prevented or affected by reason of circumstances that amount to “force majeure”. These include any event which we could not, even with all due care, foresee or avoid. Such circumstances include the destruction or damage of the property through fire, flood, explosion, storm or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, fire, adverse weather conditions, war or threat of war, actual or threatened terrorist activity, epidemic, pandemic and all similar situations beyond our control.

2.5 Your responsibility with the accommodation

Damages and breakages

Guests are advised to check the accommodation unit/s for any damages or breakages found at the beginning of their stay and to inform us of any that they find. Please let us know if anything gets broken so we can replace it for our next guest. 

We will only charge for replacements in exceptional circumstances, as we expect a degree of wear and tear. If damage is directly attributable to the guest, then we reserve the right to request payment. We reserve the right to take payment from the banking details on file.

The guest is responsible for leaving the accommodation in good order, clean and tidy and in the same condition as they found it on arrival when leaving, guests must remove all food items and personal belongings and return any moved inventory items to each accommodation unit or they may be liable for extra cleaning costs. If the accommodation unit is not left in an acceptable condition and we have to carry out extra cleaning above and beyond what they would normally expect, £50 will be charged.

If you’ve left items

Personal items that have been left can be posted Royal Mail tracked first class and post and packing will be charged back to the guest through the bank details we have on file. This will be the amount of the postage plus £10 administration and packaging. 

Security

It is the guest's responsibility to close windows and lock the accommodation when they are not on site. We cannot be held responsible for the guest's personal property which is not locked inside. 

The cost of replacing keys lost by guests is charged at £25 each. 

Bicycles

Guests bringing their own bicycles should ensure they are locked and left outside the cabin, please bring locks with you. We cannot be held responsible for damage or theft to bicycles left on the property. Bicycles are not permitted inside the cabin. 

2.6 No smoking policy

Smoking is strictly prohibited inside all of our accommodation. If you do smoke inside the property, a charge of £400-600 (depending on the accommodation) will be charged to cover deep cleaning and re-decoration. Any guests smoking outside of the hut are responsible for disposing of their cigarette buts in a bin and must not litter the surrounding area. 

2.7 Accommodation guidelines

In order to make the stay as lovely as possible, all guests must keep to rules of behaviour listed here, behaving in a considerate and safe manner to all people and animals onsite. To respect fellow guests we ask that there are no high noise levels after 9.00 p.m, with all noise to stop by 11.00 p.m. We do not allow amplified music or drumming unless pre-agreed for ceremony or an event.

Only wood provided/purchased from us can be used for wood burning stoves / fire bowls. Fireworks and sky lanterns are not allowed as they pose a risk of fire and are a danger to livestock and animals at the garden and in the area.

We reserve the right to enter the property, at a reasonable time, in the event of an emergency or remedial repair work being required.

We are entitled to ask the guest to leave the property without any refund if, in our opinion, the behaviour of the guest and/or their party is unacceptable.

2.8 Pets

Well-behaved dogs who are safe and comfortable around other animals and children in a working garden environment can join you for which we make a charge at booking. Please don’t leave your pets in the accommodation unattended or allow it on furnishings. If your pet damages the property or furnishings in any way, we will come to a compensatory arrangement. We cannot be held responsible for any accident or injury to a pet during their stay.

3. General

3.1 Garden guidelines

We hope you love the natural environment as much as we do! We ask that you consider the Countryside Code including the following:

Leave gates as you find them, closing a gate if found closed.

Keep to public footpaths.

Do not walk across crops (this includes long grass).

Leave no trace on the land. We provide a variety of bins in your accommodation. There are opportunities for recycling through our labelled bin system and we are a zero-to-landfill site so our rubbish is handpicked for sorting so please be considerate in how you dispose of items.

If the Site Regulations are breached, in serious circumstances, we may ask you to terminate your stay without a refund. 

We are a working apothecary garden, so our gardeners and caretakers will be moving about carefully and consciously during your stay. Essential, unavoidable maintenance activities may be carried out on or in the accommodation or buildings during your stay or attendance without you being entitled to any compensation.

3.2 prohibited activities

By making a booking with us you agree not to engage in any of the following prohibited activities.

  • taking, administering or selling drugs on the uk governments list of restricted substances

  • selling alcohol without prior consent from the garden and an appropriate licence

3.3 Misc

Whilst every care is taken to provide a true and accurate description of the properties, events, workshops, retreats or training on our website, in marketing and in email communications, over time alterations are made and some things do change. The guest accepts that no refunds are available for such discrepancies.

3.4 Complaints

We try exceptionally hard to ensure your stay with us is memorable for all the right reasons, and our many returning guests testify to the excellence of our service.  However we recognise that from to time things do go wrong. In these circumstances, it is your responsibility to make any problem known to us immediately it becomes apparent via the emergency contact number on your welcome information, giving us the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be assessed. We will make every endeavour to rectify any identified problems as soon as is reasonably possible.

4.5 Personal details

In order to process the booking, we will need information from the guest about the party. It may be used for administration purposes solely or the sending the guest future promotional or marketing literature. Any information will remain confidential and is protected under the Data Protection Act 1988 and GDPR 2016.

4.6 Liability

We have no liability for any death or personal injury. In addition, we accept no responsibility for the safety of, or the loss or damage to the guest’s possessions whilst on the property or land. Exception to this is if damage or loss is caused by negligence by The Apothecary Garden or its employees or contractors.

4.7 WiFi

We provide free Wi-Fi in the Barns, cabins and communal areas and will share the WiFi with you in the welcome information for your booking. If you require use of the Wi-Fi, please ask a team member who will provide you with a network password.

You may not use our Wi-Fi network to:

breach any applicable local, national or international law or regulation or to facilitate illegal activity;

 bully, insult, intimidate or humiliate any person;

transmit any unlawful, harmful, defamatory, discriminatory (whether on grounds of race, gender, colour, religious belief, sexual orientation, or disability) or obscene material;

transmit, or procure the sending of, any unsolicited or unauthorised advertising or promotional material or any other form of similar solicitation; or

knowingly transmit any data, send or upload any material that contains viruses, Trojan horses, worms, time-bombs, keystroke loggers, spyware, adware or any other harmful programs or similar computer code designed to adversely affect the operation of any computer software or hardware.

Engage in any illegal activities. 

4.8 Law

The contract between the guest and The Apothecy Garden is governed by English Law. Any dispute the guest has with The Apothecary Garden shall be dealt with in an English Court of Law. 

Declaration

I have read the booking conditions and agree on behalf of all members of my party to abide by those conditions. I understand that any balance payments must be paid at least 30 days before the booking is due to start. I am over 18 years of age.
